O.I.C. (International Organization of Congresses) Is a P.C.O. (Professional Congress Organizer) operating in Italy and abroad.

O.I.C. is an affiliated of I.A.P.C.O., situated in Brussels, a world association which is composed of 50 International Organizations all over the world.

We specify as follows the details of the services that can be supplied by our agency:

Drafting and submission of the Congress budget

2.

Management of pre-congress secretariat on the basis of the following items

- Data processing and printing of labels for mailing lists
- Mailing of programs and printing information of the Congress
- Filing and data processing of registration forms
- Administration of the entire registration procedure
- Management of banking transactions on current account
- Management of book-keeping, incomes and expenditures

  during the Meeting

Scientific Secretariat managed by highly qualified personnel for all contacts with the Scientific and Organizing Committees and for correspondence with the speakers

Collection, elaboration and printing of abstracts and Proceedings volumes by our Scientific Press Department

Travel arrangements and hospitality of invited speakers

Selection and preparation of Congress sites

Design of the graphic line of the Congress

Organization of the drafting and printing production of all Congress documentation

9.

Management of Commercial Exhibition
Elaboration of the scale plan of the floor area and of the general regulations of the exhibition; inspections before the Meeting of the exhibition area with all the exhibitors who should request it and carrying out of all technical operations according to the needs of the companies (setting up of stands, custom formalities, porterage, etc.)

10.

Hotel bookings: reservation of relevant room allotments in hotels of several price categories. Management of hotel deposits and mailing of hotel vouchers

Definition and realization of social events

12.

Coordination of the catering services for working lunches and coffee breaks in the Congress area

13.

Organization and setting up of technical and audiovisual equipment

14.

Request for financial support from the Government, industry and from all the Institutions that usually contribute to Scientific Congresses

15.

Setting of all the material for Congress kits: folders or bags, badges, touristic brochures, etc.

16.

Recruitment of multi-lingual hostesses and/or stewards to be employed during the Congress in the following services:

- secretariat
- hospitality desks
- participants registration and new registrations
- assistance to the meeting room
- slide centres and technical assistance
- social programme assistance
- assistance to the accompanying persons programme

17.

Coordination of press conferences for the promotion of the Congress

18.

Establishment of support facilities: bank, exchange and post office especially open for Congress participants

19.

Design and realization of the advertising posters and of the directional signs

20.

Public relations and general assistance before, during and after the Meeting
